How to host a successful event during COVID

End of year celebrations just became a little more merry and bright following the NSW government’s decision to further relax COVID restrictions in time for the silly season.

From December 7, rules around hospitality venue caps will be removed and the 4sqm rule will be relaxed to 2sqm.

This is welcome news for the events industry and for businesses looking to wrap up a challenging year on a high. However, in what still feels like uncertain times, many have (understandably) opted out of hosting Christmas parties and functions.

So in the spirit of festivity, I wanted to share my checklist on how to put on a fun, COVID safe event for EAs and event managers:

  • It’s a numbers game - Numbers are determined by the type of event and the venue space. From next week maximum capacity caps will be removed subject to the 2sqm rule for hospitality venues and corporate events.

  • Safety first - All venues must have a COVID Safe plan and all events must also register a COVID Safe plan. The NSW Government website provides resources and guidance for developing a COVID-19 Safety plan for your corporate event or function and includes things such as COVID signage, hygiene and cleaning, wellbeing of staff and clients, physical distancing and record keeping.

  • QR code check in - A condition of entry and a simple way to record your guest list.

  • Catering - Choose a set menu, avoid feasting or buffet style options. Food must be served plated and guests need to be seated to eat and drink.

  • Masks & PPE - Masks are not compulsory in NSW, however, anyone in an operational role, unable to socially distance should be encouraged to wear PPE gloves and mask.

  • Technology & Personal AV - Provide all speakers with their own microphones, change the filter in the lectern mic and wipe down between speakers.

  • Eliminate touch points - Produce event programs and menus electronically and make available to download.

  • COVID Marshalls - Are compulsory for any event to ensure compliance with COVID Safe directives.

  • Get Creative - Opt for a themed event and if you will have more than the permitted number of 50 guests dancing  (post 7/12) find another form of entertainment to fill the void.

  • COVID free community - Remind your guests on the invites if they are feeling unwell, not to attend.
